Minutes: Meeting declared open at 7:05PM Minutes from AGM are confirmed as true and correct by TG Seconded by MM

Presidents report: (TG) Thanks to Juliet & past exec for past 12 months and new exec for work so far. Covid Update: Currently guided by MTBA for events and gatherings. We have made request with TRC to see if we can commence maintenance days once again – keeping with the current Covid-19 requirements. Open exec positions still yet to be filled: Maintenance Grants Events Coordinator Enduro Race XC Race Grant has been submitted for Covid-19 community grant – will likely use for upgrade/refresh of club equipment if successful.

1. Financial update (MM) $61K currently- $55 of which we are required to pay for grants. Membership currently at 160 through MTBA $1500 donated through Australian sports foundation Looking to change the membership link on website (option to have financial only club member) MM raised motion to formalise above option MC seconded motion Around 3.5-4K to run club annually. (with no events or building) Option to do a raffle (e-bike) Possibly 1000 tickets at $10-$15 each MM raised motion for raffle JS Seconded motion

2. Stronger Communities (Top Shelf) Grant Update (TG) TopShelf bridge/ beautification $10000+ GST. Was Due to be acquitted before EOFY. Reached out to see what options were Exec have re-looked at grant and very high level of matched volunteer support- Covid-19 restrictions makes this rather difficult. Grants office happy for us to change scope and extension to end of calendar year This does however need to be an infrastructure project – likely supporting pump track project later in the year.

3. Harvey St descent upgrade (including additional upgrade works to connection/links) (TG) Danomite – Trailbiz due to complete end of May/ early June. $35K grant – tender price was $30K $5K funding to spend or we lose it Confirmed with Trailbiz who will be completing an upgrade to short trail links that Danomite flows into TG raised motion for above CC seconded motion

4. Illegal trail signage (TG) TRC have provided signs for illegal signs Club happy to erect signs – with remediation works completed to entrance of some already. Please avoid vandalising of these signs and put back in if removed knocked over etc.

5. Back burning to Frenzy/Top Shelf/Danomite early June (TG) Council are back-burning this area in mid-June for 2 weeks. New private fence was installed which has prevented council access – fire road will need to be re-done and a chance that small section of top shelf will need to be removed. Club may need to complete remediation works once burn off is completed Club will post on social media to build prior awareness.

6. Signage and extra audit funds from TRC for trail remediation before EOFY (TG) TRC have approached club about some spending before EOFY - $5K This will focus on trail remediation from the trail audit from mid last year. Both Trailworks and Trailbiz have been contacted to supply a schedule of rates, along with timeframes etc With Trailbiz still working on Danomite & additions, exec would recommend Trailworks with a focus on Frenzy, Fries and Turkey. Club will be monitoring this through strict documentation TG Raised motion for above DW seconded motion

7. Pump track at Bridge St trailhead (DW) Exec are rebooting the idea of pumptrack/skills park with TRC positive around this idea so far. Looking at existing pump track – looking at re-doing area as skill development area with a focus on progression Loop will go from easy rider back up with an additional 2 progressive jump lines. Ideas in early stages – with mostly volunteer hours/ material to be used to build Rod/ Dave have done a general plan – council are requesting a meet with the club to walk the proposal Thoughts to utilise this project for the stronger communities grant (point 1) TG raised motion for Stronger Communities grant MM seconded motion

8. General Business DW: Trailhead signage at the top of bridge st does require updating (along with signs at Amos Rd & Harvey St) TG: fell part of large escarpment project updating signage across all parks – map was old map from website CC – try and implement the Trailforks application WB – floated a sticker based system for loops/ climb out through week JS raised motion to further explore MC seconded
